Trainers’ PowerPoint How to…
Recently we’ve discovered how to better use MS Office’s Powerpoint 2007: as presenters, it’s awful to make notes in the field below a slide in a Powerpoint (or ppt) slideshow and not have access to these while presenting! Normally the way around this was to print a hard copy of the slideshow that included notes; but how professional is it to shuffle through pages to find the printed notes?
A friendly presenter for the Center for Cognitive Coaching showed Jay what Keynote (a Mac presentation program) can do with respect to displaying slides on an LCD projector while simultaneously showing the current slide, future slides, notes, & timer on the MacBook. She mentioned that this is possible for Powerpoint 2007 through the use of Presenter View.
With a little research and testing, here’s how to set it up and use it. It requires adjusting two settings – one for your monitor on a laptop; another setting in Powerpoint 2007.
PART ONE: Setting your laptop for two separate monitors
First, you’ll want an appropriate desktop picture as that is what is displayed when the slideshow is not running. We use our Missouri PLC logo:
Plug in the LCD (Plug&Play) so that the laptop recognizes two monitors.
Next, adjust the display properties of the desktop by RIGHT CLICKING somewhere on the desktop (where there is no icon) and selecting PROPERTIES:
Next, select the SETTINGS tab and choose
(2.) “Default monitor…” from the drop down dialog under “Display”
and place CHECK MARKS in BOTH the boxes for “Extend my Windows desktop onto this monitor“(displayed below)
AND “Use this device as my primary monitor” (not displayed below)
You are now set up and finished with Part One!! For visualization purposes, consider that you have created a second Windows desktop with the same picture to the left of the one you see on your screen… similar to landscape format in printing. It is on the invisible monitor to the left that your powerpoint slideshow will be displayed on your LCD, while Presenter’s View will be shown on the monitor (or laptop screen) on the right.
PART TWO – setting up Powerpoint to use Presenter’s View:
Begin MS Office Powerpoint 2007 and open a slideshow. Select the “Slide Show” tab and put a check mark in the box for “Use Presenter View” (as displayed below)
And lastly select – on the drop down dialog under “Show Presentation On: MONITOR 1:PLUG & PLAY“
and then begin your slide show (F5) to see your notes, upcoming slides, timer, and clock!! Meanwhile your slide show will be shown on the LCD (or the invisible screen to the “left” of your laptop screen).
